Planning a multi-day Indian wedding in Italy
A multi-day Indian wedding in Italy is planned as a hospitality programme, not as a single ceremony date with extras attached. The first job is to decide which events actually belong to these families. The second is to decide whether those events share one address or move — because each move is a reset of rooms, dress, catering and production.

What has to be decided before a place is chosen
Indian destination weddings are not one format. What is needed varies by family, region, religion, community and preference. A programme may include a welcome gathering, Mehndi, Sangeet, Haldi, a Baraat, a ceremony, a reception or a farewell brunch — where those chapters belong. None of them is assumed.
Before Italy is even mapped, four questions usually save more time than a mood board:
Who must be in the room for each chapter — and who may skip one? Elders, children and guests arriving mid-programme change the shape of the days more than décor does.
How many dress changes are real, as opposed to hoped for? Each change needs a room, time and often a return to accommodation.
Will catering be one kitchen language all weekend, or different registers — a family lunch, a specialist dinner, an Italian breakfast? That is a production question, not a menu question.
Should guests stay on one property, or is a concentrated hotel block enough? That choice is developed in hotel buyout or private villa; it should be asked before anyone falls in love with a garden that cannot sleep the people who flew.
One property, or a move between rooms
Keeping several events at one address reduces coach hours and protects elders. It also concentrates the hidden work: sound, light, florals and catering have to be struck and reset in the same house, often overnight, while guests are still sleeping there.
Moving between venues can give each chapter a different register — a garden for a daytime gathering, a later room for music. It only works if the gap between events is honest. Guests need time to change, rest and move. Production needs a load-in window that does not collide with the previous toast. A Baraat, where it belongs, is a movement problem of its own: the route, the vehicles, the hour and the local road.

Rooms, arrivals and luggage
Accommodation as a strategy, not a hotel list
A room block, two neighbouring hotels, or a private buyout are different answers to the same need: guests should not invent their own logistics every morning. Separate houses for each family are sometimes required; they are manageable when written early and unkind when discovered on arrival. There is no published maximum guest number. The first night is part of the wedding
International arrivals are rarely simultaneous. A first night near the airport — or in a city that can absorb jet lag — is often kinder than asking elders to reach a rural gate on the same afternoon as a long-haul flight. Staggered landings need a named person, a named car, and a named room. Guests should not be running a WhatsApp dispatch from the carousel.
Luggage is a separate plan
Bags that fly with guests, bags that go straight to a villa, and bags that must later leave on a boat or up a hill without a lift are three different problems. A villa reachable from a landing stage is not a hotel with a forecourt. If the outline cannot say where a suitcase spends each night, the hospitality is incomplete.
Production, catering and specialists
Between events, the room has to change function: a lunch table is not a Sangeet floor; a garden ceremony is not an evening dinner. Setup and strike need hours, power, access for trucks, and a place for crew to work without walking through guests in lehenga or sherwani. That is why “the same pretty garden all weekend” is not automatically the easier plan.
Catering for an Indian destination wedding in Italy is usually a coordination problem, not an in-house kitchen claiming a cuisine. Typical modes — examples, not packages — include a property kitchen cooking to a specialist brief; a specialist team using a commercial kitchen on site; or off-site production brought in where the property allows it. Weather, communications, and the days around
Outdoor light is part of why families choose Italy. A multi-day programme still needs an indoor answer for any chapter that cannot be moved if the weather turns — often a Sangeet, a dinner or a ceremony. That question belongs to choosing the place, not to the night before. Contingency is not a tent ordered in panic; it is a room that can actually hold the people and the production.
Guest communications should be boring and complete: which airport, which car, which hotel, what to wear, when to leave, who to message if a flight moves. One coordinator is calmer than a family group chat acting as operations. RSVPs have to stay accurate across several days, not a single dinner.
Pre- and post-wedding travel can sit in the same outline: a city night before the countryside, a quieter coast after the last event, a honeymoon designed with OHH! ITALY while guests depart.
